About the role
Are you an organised, detail-oriented HR professional who enjoys keeping things running smoothly, delivering a great employee experience, and making sure the important day-to-day work gets done right? Our people are a key part of RBR; they're bright, helpful, kind, and have a good sense of humour, and we're looking for an HR Administrator who reflects our core values of passion, teamwork, and integrity.
Our small (but mighty) HR team needs someone who is excited to take ownership of the tactical, behind-the-scenes work that keeps our people operations moving, while also supporting continuous improvement as we grow. What you'll do
Onboarding & off-boarding: Coordinate onboarding and off-boarding processes, paperwork, equipment, and workspace setup, orientation scheduling, and employee communications to ensure a smooth experience
HR admin: Keep things running behind the scenes - manage employee records, support our HRIS (BambooHR & ADP WFN) and benefits programs, and help organize company-wide initiatives
Benefits & leave administration: Support benefits enrolment, updates, employee questions, leaves, and related documentation, partnering with providers and internal stakeholders to ensure timely, accurate administration
HRIS & process support: Assist with Human Resources Information System (HRIS) maintenance, reporting, audits, and process improvements, helping keep systems organised, reliable, and useful for the team
Recruitment coordination: Support hiring processes through interview scheduling, candidate communication, offer and document coordination, and other recruitment support as needed
Employee support & team coordination: Help respond to day-to-day employee questions, manage the HR inbox & Jira tickets, coordinate meetings and follow-ups, and assist with internal communications and team activities
Immigration & compliance support: Assist with work permit, visa, Labour Market Impact Assessment (LMIA), and permanent residency processes, policy administration, and compliance documentation in partnership with internal stakeholders and external providers
Continuous improvement & operational support: Champion smarter ways of working by identifying process improvement opportunities and exploring AI-powered tools to automate or enhance day-to-day tasks. Help document and update standard operating procedures (SOPs), support audits and reporting, and assist with office or facilities-related coordination.
Job requirements
What you bring
1+ year of practical experience in HR, people operations, recruitment coordination, or HR administration
Passion for efficiency, technology, and supporting people
Excellent organisation skills and strong attention to detail, with a high degree of accuracy and follow-through
Exceptional communication skills - youโre comfortable writing clearly and connecting with people across all levels
Ability to manage multiple tasks and deadlines in a fast-paced environment while staying calm, reliable, and solutions-oriented
Good judgment and discretion when handling sensitive and confidential information
Comfort with HR systems and digital tools, with curiosity and confidence to learn new systems, improve processes, and use technology to our advantage
Degree or diploma in HR, Business Administration, or a related field, or equivalent practical experience
Nice to haves
Experience supporting benefits administration, leaves, or immigration processes
Experience supporting a system implementation, automation, or AI processes
Experience with tools such as Jira/Confluence, ADP, BambooHR, Google Workspace, macOS, Applicant Tracking System (ATS) platforms, and Gen AI
